crm and erp with AI scared me at first. When I implemented my first crm and erp in 2021 for a client in Santiago, I messed up. I wanted to do everything manually, perfect.

You need both connected. If your CRM AI says you’ll sell 500 units but your ERP doesn’t know you only have 50, AI just helps you make promises you can’t keep faster.

My most expensive mistake using separate CRM and ERP

2022, La Vega. Distributor, 18 employees. I put HubSpot as CRM and left his old accounting system as ERP. No connection. My plan: «We’ll integrate later.»

Later never came.

Sales sold in HubSpot. Warehouse never saw it. Accounting invoiced late with wrong NCFs. We had RD$210,000 difference between what sales said and real cash.

I have a client in Santo Domingo selling packaging. His WhatsApp AI agent, connected to his CRM and ERP, does this: Client asks «price for 500 trays», AI checks CRM for client price list, checks ERP for real stock, creates a quote in Odoo with NCF, and sends PDF with link to pay. No human.

Before, his vendedora took 18 minutes per quote. Now, 40 seconds. She only handles big or angry clients. Sales went up 23% because they answer at 9pm and Sundays.

This one scares accountants, in a good way.

AI in ERP now scans every factura, every NCF, every supplier bill. It finds: duplicate bills, suppliers who raised price 15% without notice, products where margin dropped below 10%, clients who always pay late but get big discounts.

Example: AI flagged a product for a client in Santiago. He was selling his best-seller at RD$45. Cost went from RD$28 to RD$36 in 3 months, he didn’t notice. He was losing RD$18k/month on that one product. AI caught it.

After: One client in La Vega cut dead stock by 41% and stock-outs by 73% in 4 months. He stopped panic buying expensive from local suppliers.

If you started today, clean your last 12 months of sales data. That’s all AI needs to start being useful. No clean data, no good forecast.

5. AI that writes your follow-ups and your reports.

My favorite boring win.

CRM AI now writes: «Hola Juan, you asked for 200 gallons last Tuesday, I have them reserved for you, here’s your invoice with e-CF, you can pay here.» In your tone, in Spanish, with client’s name. Vendedor clicks approve, not type.

And ERP AI writes your morning report: «Yesterday you sold RD$125k, margin 22%, 3 clients have overdue >30 days (list), stock of product X will run out in 6 days.»

I save 1.5 hours every morning per owner. They don’t open 5 reports. They read one paragraph.

Benefits I did see when integrating them

If you have zero process and your prices change every day by mood, AI will just automate your chaos faster. Fix process on paper first.

And if you won’t clean your data, don’t buy AI. AI trained on dirty data gives you fancy wrong answers. I’ve seen AI recommend buying 10,000 units of a product you discontinued because your ERP still had it as active.

AI won’t fix a messy business. But a organized business with AI? That one will be hard to beat in 2027.
